About the role
We’re looking for an organized and proactive Office Assistant to support our team and ensure our day-to-day operations run smoothly. If you thrive on keeping things in order, helping colleagues, and creating a positive and efficient work environment, this role is for you.
Location: Tallinn, Estonia
Type: Part-time (0.5 FTE). This is a fixed-term contract from October 2025 to April 2026.
What will you be doing?
As our Office Assistant, you’ll play a key role in keeping our team supported and our offices running. You’ll:
- Take care of our offices in Tallinn and Tartu (supplies, deliveries, workspace organisation).
- Support colleagues with scheduling and travel arrangements.
- Assist HR with onboarding new employees (equipment setup, access, welcoming).
- Help organise company-wide gatherings, team events, and smaller meetups.
- Be the go-to person for office-related vendors and service providers.
- Keep internal processes tidy (documents, contact lists, expense tracking).
- Provide ad-hoc support to managers and colleagues when needed.
You’ll be thriving in this role if you:
- Are highly organised and enjoy making sure things run smoothly.
- Take initiative and spot what needs to be done without waiting for instructions.
- Have a high level of attention to detail and follow-through.
- Are fluent in both written and spoken Estonian and English.
- Are comfortable using MS Office or Google Workspace.
- Enjoy supporting others and creating a positive team environment.
- Can work from our Tallinn office.
